What are the general policies/restrictions for this space?

All food and beverage needs for an event must be provided by R&DE Stanford Dining or R&DE Stanford Catering. No outside food is allowed inside the Study Room.  Confetti is not allowed.  No fliers or other materials are to be hung on the painted walls of the room (including the use of tape, tacks, or nails).  The glass “dry erase” boards can be used to hang signs or posters for events using blue painters’ tape.  All furniture must remain in the room.

What requirements are there for maintenance of this space?

The organizer is expected to leave the room in the same condition in which it was found at the time of arrival. If furniture is moved during the event, it must be put back to its original location in the room. A minimum of a $50 cleaning fee will be charged if the room is left dirty and/or not put back in its original condition. Any damages or cleaning charges will be charged to the organizer’s University student account provided in the contract.

What is the procedure for students to access the space/enter the building?

The main doors of Arrillaga Family Dining Commons and the Study Room door are open during the dining hall’s continuous dining hours during the week (7:30am-2:00am). From 8pm-2am both the main doors and the room can be accessed with students’ SUID cards. For the weekend the main doors are unlocked during the brunch & dinner hours (9:30am-2:00pm & 5:00pm-8:00pm). These hours also apply to the study room. For reservations happening before the dining hall is open, or when the facility is closed the organizer can have their SUID card programmed to access both the main doors and the Study Room. This card access will be done through the room coordinator. The key card office is open Monday-Friday from 9am-5pm. In order to guarantee that a student’s SUID card is programmed in time for their reservation, all weekday requests must be sent in 24 hours in advance, and all weekend bookings must be submitted 48 hours prior.

What are the set-up/take-down requirements?

From 8am to 4pm there is staff on site to set-up the room according to the formations requested in the room contract. After 4pm students have access to the collapsible tables and chairs to organize the room to their needs. All food, beverages and dishes must be cleaned up after each reservation, and the tables and chairs left in a neat formation.

What is the policy on alcohol and/or fire use?

Alcoholic beverages are prohibited from being possessed or consumed in all R&DE Stanford Dining Halls, adjacent meeting rooms, outside seating and patio areas. University Dining staff can deny admission access to anyone who is deemed to be overly intoxicated by the Dining Management staff. Fire is also not allowed at anytime inside the Study Room.

What is the policy related to noise? What are the quiet hours?

The Study Room is available for booking during the hours Arrillaga Family Dining Commons is open (7:30am-2:00am).

Are there any fees associated with this space?
